POLICY All school police officers and supervisors shall record their daily police actions on a Patrol Log, PS-8. II. PREPARATION A. The police officer preparing the Patrol Log shall: 1. Make each entry specific, legible and in chronological order of occurrence. Entries shall be made line by line and NO line shall be left blank. 2. At the beginning of the tour of duty, insert: a. Date. b. Day of week. c. Tour of duty. d. Assignment. e. Vehicle number, if applicable f. Vehicle's starting mileage, if applicable g. Platoon/Task Force, if applicable h.The officer’s name and badge number 3. Ensure that the vehicle is properly maintained. It is the operator’s daily responsibility to ensure that the vehicle’s oil, battery, radiator, and transmission fluid level is checked. 4. Make an entry in the "Time and Location and Nature of Complaint or Service Rendered" blocks whenever an action is taken. Enter the time the assignment was received from school district radio dispatcher or supervisor and the completed time of an assignment on the patrol log PS-8. Examples of typical entries would be: a. 8:15 AM to 9:15 AM - South Phila. HS - Meet Principal b. 4:00 PM to 5:30 PM - Germantown HS - SPO Holding Prisoner c. 9:00 PM to 9:20 PM - ML King HS - Tripped Alarm d. 9:50 AM to 10:00 AM - Passyunk Bus Garage – Personal 1 - 14 5. Ensure that for each entry, the following applicable blocks are completed: a. Notification - designate by letter or check mark the origin of the (1) District Engineer (2) Radio (3) Police District (4) Fire Dept. (5) Other: The following designations should be entered in the “Other" column: Use “S” for sight and “C” for Civilian. b. Assisted School Police Officer. ____. If assistance was given to another School Police Officer, insert region area of officer you assisted. c. Complaint Founded – an “F” in this block will show that a complaint was founded, U if unfounded. d. Arrests – indicate an arrest by placing an “A” in this block. e. SP-16. – Insert a check mark in this column when a Complaint or Incident Report was prepared and submitted. f. Total all columns on the face of the log. g. Ensure that the final entry on the log states: any defect, damage or mechanical failure, which occurred during the tour of duty. h. Recap and indicate the number of: 1. Arrests 2. SP –16’s 3. Buildings Checked i. Sign and submit the completed log to the Patrol Supervisor when reporting off. III. INSPECTION AND CONTROL A. The Patrol Supervisor shall: 1. Ensure that every School Police Officer accurately prepares his/her log by personally checking the log. a. Each patrol log shall be signed at least once each tour of duty (on the next vacant line) and will include the time and location of the check. b. The Patrol Supervisor shall review and initial each log in the lower right hand corner. B. The pertinent Commander shall periodically spot-check and then initial logs to ensure compliance with the provision this directive. C. The Administrative Lieutenant of School Safety or his designee shall maintain the patrol logs for the present month and the immediate proceeding month. 2 - 14 D. The Administrative Lieutenant of School Safety, or his designee shall secure all other logs. E. The Garage Officer will also check and report any unusual use of: 1.Oil level 2. Battery 3. Radiator 4.
