We previously agreed that we would not post a statement on our Internet Webpage, but rather, send email contacts to the individuals. We want to make. sure GPA is comfortable with the language of the email (the current language is consistent with some prior language Nancy and Dan saw related to the possible Web post). Also, I am sending this to GO in part so that you can share with Andre Zee at DOJ as he wanted to review the language in light of the pending litigation. Please let 'me know if you have any comments edited on the proposed email message highlighted below. Thanks! Lilian BACKGROUND: The current External Compliance staff became aware of the existence of the Title VI Complaints mailbox in July 2015. Since that time, the website mailbox is regularly reviewed for receipt of Title VI Complaints and the correspondence is processed consistent with established procedures. Emails received in the mailbox generally include: reports of potential environmental and non-environmental concerns some that are related to discrimination and some that are not; possible housing concerns and . complaints; local government concerns; meeting/Facebook invitations; and, spam. The majority of the emails in fact do not raise civil discrimination concerns. To address the fact that the Title VI Complaints mailbox was dormant, OCR recommendsissuing an email response. As proposed and provided below, the outgoing response message from the Title VI complaints website mail box will be issued to members of the public that submitted concerns to the website mailbox. The mailbox currently contains 224 messages. OCR has previously acknowledged the Title VI concerns that were received post the July 2015 discovery. Therefore, we will not be sending emails to those Title VI complaints that have been acknowledged/resolved g. Doubletree, Ceiling Sag, Flint, Ecotopia, -C (.91 Trenton, GA Ag. REACH, Brodhead Farms etc.) Some of the emails receipts are duplicate or multi? messages from the same sender about similar or previously mentioned topics Brodhead, REACH, etc.) Likewise, we will not be sending messages to spam, or meeting invitation or Facebook invitations. We anticipate completing a physical counts of the actual singularly received email message from the total count to which we will send email, by the end of thIs week.
