omndom io: WTP sfaff Christian Lefer, Director of Sirofegic Programming Merch 1, 2009, Most Recent Revisfion: April 5, 2009 Meeting Scheduling Overview Senator Brophy, I appreciate your openness to look at this. This is a winning idea that needs the initial support of a handful of people who realize the opportunity presented to us. Western Tradition Partnership (WTP) needs to achieve a critical mass and break out of the typical cycle of inefficiency of early programs in order to be effective in 2010. Please see our proposal below, This memo is intended for: a) those who already comprehend the basic elements and importance of targeted grassroots mobili zation and effective media advocacy by groups like WTP especially in battling radical environmentalists; and in) tllos who recognize the effectiveness ofWTP's targeted strategy and ability to implement effec- tive, results~oriented action. As you can see in this memo, if We can meet with enough people and explainWTP's program to them, We will be able to raise the funding necessary to raise the immediate funds required to get our spolcesmen on the road with new donor data, and WTP will be able to fund our proven programs long-term to combat and Win the battles being waged by the radical environmentalists against job creation and business development across the West. To enter the 2010 election season aggressively, we must raise $260,000 by the end ofthe year. Ifyou would be willing to recomend us to a small group of people, this would go a very long way in making sure we achieve critical :mass to grow at a rate to positionW'I'P to make a major difference in 2010. Should you have questions or want to discuss this proposal, please give me a call anytime. jacob Leis Director of Communications Western Tradition Partnership I. How Our Model Works Our program was designed by the same people who designed the multimillion-dollar personalnfisit stvle fundraising pr gains for other organizations including Club for Growth National Right to Work Committee, and other pro-business mired government interests. Our team has also developed programs for several Members of United States Congress. 1) A weeklong rnulti>>step process to arrange a meeting with specifically targeted, higlhvalue donors. 2) A personal, 1~on-l meeting that features a project briefing and session. 3) Highly personalized and extended followup after the meeting. The design of this program eliminates the top obstacles that frequentlv prevent small donors from becoming major ones Donors who have the capacity to give at higher levels often don't increase their support via other fundraising programs because of these common concerns. They don't open the mail request or miss the phone call. The meeting arrangement proeedure is several steps so that no _failure gf a single step in setting up the meeting can stop the program. The donor feels their gift disappears into a "black hole." The personal meeting gives an actuoljace to the orga~ nization and establishes a more personal relationship with the donor. The process of reading or listening to the message is interrupted and not resumed. The presentation in the meeting establishes a set time _for the donor to hear our message and it is rarely interrupted by outside events. The donor has a very specific concern or question that wasn't addressed by the mailer or phone Script. The personal meeting allows the donor to ask anything to a representative ofthe organization during the session. The donor isn't immediately able to give, and subsequently forgets to donate. The highly personalized _follow-up process malzes sure the donor has evegr opportunigf and reminder tofollow through with his donation- Meeting Scheduling Process 1 The iirst step is a letter from a iiriend or known Contact to prospective donors. This letter simply says that the friend that a representative will be in his /ber area soon and would like to meet with the donors to tell them about an project. This letter is mailed two Weeks prior to the tentative week of the meeting. The letter also says that the known Contact believes thatV\/TP is doing the right thing and they would recommend the prospective donor rneet with the spokesman. 2 Three days later, the friend will make a phone call to the prospective donor. This phone call is a simple follow-up to the first letter. During the phone call, the friend makes sure the prospective donor received the letter, and once again encourages the donor to meet with theW'TP spokesman. 3 The next day, scheduler will Contact the prospective donor and ask them if they would like to meet. The scheduler will then schedule the meeting when it is convient for the prospective donor, and the WTP spokes man will explain WTP's 2009 program. IH. Testing Results Based on the test numbers, We are on the right track and are ready to scale up right away Here are the results from the most recent test sample of 500 prospects: Number of Prospects mailed and called: 500 Percentage of Meetings made: 7% 2 35 of those Meetings resulting in Contribs: 25% 2 8.75 Average Contribution size: I S1750 3 $15312 CONCLUSION: 0 WTP's proven Maj or Donor Acquisition l'rogram (MDAP) is the one Component of our 3-prong fmdraising strategy which requires an upfront investment. The performance figures quoted here are the actual results of the small scale test we have operated in the first quarter. We are asking that you agree to three simple steps in order to make sure 2010 is the opposite of 2006 and 2003. 1) 'Become a Sapphire Level Partner with a personal gift of $250.00 This sacrificial gift not only grants all of the heneiits of partnersliip witl1WTR hut also adds a great deal of credibility when you aslc people to listen to what we have to say. 2) Sign the attached letters to a handful of people that you believe will be interested As you can see, the letter says that you believe in whatWTP is doing, that your support our efforts, and that you would like them to meet with us and here whatWTP has planned. 3) Make a single phone call to each ofthe people. This phone call serves simply to confirm that the prospective donor received the letter, and that you recommend they hear what WTP has to say, All that is required ofyou is to sign a letter, and pick a date to make a handful of phone calls. The rest of the process will he handled by WTP staff Your help in asking people to simply hear what We have to say can make all I the difference in successfully in 2010. This tyjpe of fundraising is naturallv limited to a degjee by the data used to select meetings, but we are confident with a handful of recomrnendatioris from peagle like vou, WTP can invest in aouiririg individual members at a fast enough rate to make a difference in 2010.
