As Matt mentioned, we have worked with the PDR department to ensure that our use of Gmail accounts for Council work is compliant with procedures for public disclosure. The main use of the Gmail accounts is actually Google Drive which allows us to share documents with each other and work on them collaboratively and simultaneously. We use the City government accounts for most email exchanges, but we also use Gmail for some correspondence. We do not delete any emails or documents and Google’s archive is quite adequate for retaining all emails. The Gmail accounts, including Drive, for each staff member and the Councilmember are searched for responsive correspondences and documents with every public record request.
