SECTION 6- COMMUNICATIONS Public Relations Every Department employee is to some extent involved in public relations. We, as a Department, are judged by the manner in which our employees work with the public. Therefore, Department business should be conducted in a professional manner that leaves a good impression. All Department customers are to be treated with respect. Correspondence The public relations importance of correspondence should be every employee's concern. All correspondence, including electronic, should be answered or acknowledged within a reasonable time period -and should be phrased in a manner that conveys the writer's willingness to help. Responses should be carefully prepared to ensure the information is correct. Public "Appearances An employee may deliver a public address on subjects relating to Department policy A matters. However, the material must be submitted to the Office of Public Affairs for approval. All public statements should be in the best interests of the Department. News Media Contact The Office of Public Affairs is the official voice of the Commissioner and the Department. Their authorization is required for any oral or written statement given to news media representatives by any Department employee regarding Department policy and activities. Any requests for information, interviews, or comments from newspapers, radio, television personnel must be referred immediately to the Office of Public Affairs or the Regional designate. This policy exists to ensure that accurate, consistent information is released. Telephone Usage The telephone is an important tool for good public relations, as it may be the only contact a person has with our Department. Callers should be treated in a friendly, but professional manner.
